Modern workplace and secure data structure

To create a workplace that is both secure and flexible, Philadelphia chose Microsoft 365. Together with IT partner Previder, Philadelphia embarked on this major change. This modernisation not only offers employees a secure and future-proof workplace, but also allows them to arrange things themselves. This process contributes to an organisation that is ready for future challenges in healthcare.

Challenges at Philadelphia

Philadelphia's IT infrastructure was focused on on-premise solutions, which no longer suited Philadelphia's ambitions. Among other things, documents were only available via a central G-disk. Philadelphia therefore made the strategic choice to switch to Microsoft 365.

Moving to a modern workplace

Philadelphia's choice of Microsoft 365 was driven by the need for greater autonomy and collaboration, both inside and outside the organisation. According to Gert-Jan van der Wal, project manager at Philadelphia, a workplace was chosen that gives employees self-direction within set frameworks: ‘In the new situation, people can arrange things themselves, such as access rights to documents within their team, which promotes efficiency and cooperation.’ The new workplace thus meets the requirements for self-direction, autonomy and security, enabling Philadelphia to adequately respond to future developments.

Digital healthcare workplace

As a Microsoft 365 consultant, Previder's Martijn Juurlink worked closely with Philadelphia to align the vision and technical implementation. "Setting up a new data structure was essential to provide Philadelphia with a future-proof working environment. The combination of our technical knowledge and Philadelphia's commitment ensured a smooth migration," says Martijn. Data from the HR system formed the basis for carrying out the migration.

The migration process: 1,000 employees per week

Due to thorough preparation and automation, the migration to Microsoft 365 went smoothly and was possible within 3 months. Philadelphia was able to transfer up to 1,000 employees a week to the new working environment. Employees gained access to the updated digital workplace as soon as they logged in in the morning. They did not have to interrupt their work. To support users, Philadelphia set up a service desk and provided them with online tools, workshops and an intranet portal for questions and feedback.

Gert-Jan points out that employees took quite a while to get used to the new environment. To help them with this, Philadelphia set up a self-service portal with videos, actions and answers to frequently asked questions, in addition to a support desk for Digital Collaboration. In addition, employees can participate in a daily digital walk-in clinic and arrange a workshop for their own team. The support from Philadelphia and the collaboration with Previder made this switch manageable for employees, despite changes in their work process.

Albert and Gert-Jan stress the importance of a well-organised, step-by-step implementation and cooperation with a reliable partner: ‘The cooperation with Previder helps us to realise our ambitions in the field of IT.’

Philadelphia success factors

Our main goal was to achieve maximum simplicity for employees by:

  • Introducing portal-based working.
  • Greatly simplifying access to documents, from 8 to 2 mouse clicks.
  • Leaving nothing to chance, secured by a tight testing and acceptance process.
  • Tailoring adoption tools to the various learning styles of employees.
  • Clear information provision during migration.
  • Looking ahead: agility and flexibility in healthcare.

With this modernisation, Philadelphia has laid a strong foundation for a future-proof care environment. The new workplace contributes to:
